Your privacy is important to us and the University of Ottawa is committed to ensuring it is respected.

Collection of Personal Information

Under the authority of the University of Ottawa Act, the University collects information for the purposes of recruitment, admission, registration, progression, graduation, administration, and other activities related to its programs. The information is used to administer and operate academic, athletic, recreational, student development, financial aid, and other University programs and activities, including residence operations and alumni and development activities and programs.

Disclosure of Personal Information

Personal information collected by any part of the University may, when reasonably necessary, be used by other units in order to execute the academic and other mandates of the University. The University may also disclose personal information in, for example, the following circumstances:

  1. The names of students receiving a degree may be included in convocation-related documents and the University of Ottawa website. Students’ thesis defences may also be published on the University website.
     
  2. The names of scholarship, bursary and aid recipients may be disclosed to donors and included in convocation and other publications including the University’s website.
     
  3. To evaluate eligibility for scholarships, bursaries or financial aid, personal information may be collected from other universities and colleges and disclosed to a selection committee constituted by the University or the donor.
     
  4. The fact that a student received an accreditation from the University may be disclosed to professional associations (such as the College of Nurses in Ontario) where such disclosure is a requirement to professional accreditation.
     
  5. To help it better meet its academic mandate, the University of Ottawa participates in some surveys. Students’ coordinates may be disclosed in order that the organizations conducting the surveys may contact students.
     
  6. Personal information may be disclosed to government offices for funding, statistical analysis, planning and reporting purposes.
     
  7. Students’ personal information may be disclosed to the Student Federation and the Graduate Student Association so that they may provide services to students.
     
  8. In cases of default on payments of fees owing to the University, personal information may be disclosed to external collection agencies.
     
  9. Where students are participating in an exchange or a student placement activity, the University may advise the host organization that the student has met placement conditions, including immunization requirements where appropriate.
