Work Schedule

  1. January -- The deans are informed of which program will be evaluated.
  2. June -- Institutional Research and Planning will inform the units of the evaluation survey.
  3. Workshop

  4. August -- Invitation to an information workshop.
  5. September -- Reminder to the Chairs of Department.
  6. October - Workshop -- Submit information and necessary data in view of the preparation for the self-evaluation.
  7. Writing of the self-evaluation report

  8. November -- Nomination of the self-evaluation committee
  9. December -- Follow-up with the units.
  10. February -- Follow-up with the units.
  11. June 15 – Submission of the following documents:
    • Volume I - – Report and Appendices (9 copies)
    • Volume II – Up-to-date CVs of regular professors (4 copies)
    • Volume III – Selection of External Reviewers (9 copies)
      • (3) names provided by the Dean
      • (3) names provided by the Chair
  12. Note: A copy of the report must be submitted to the Dean and Vice-Dean (academic) of your Faculty for information purposes. Reception of the self-evaluation report

  13. June to October -- Informal meeting with the Chair of Department and Committee members
    • Questions addressed by members
    • Modify or clarify certain information in the report
    • Submit 4 copies of the revised report for submission to the external evaluators.
    • Confirm the selection of the external reviewers.
  14. Preparation for the visit of the external evaluators

  15. September - October – Preparation of the agenda
    The agenda must include a meeting with:
    • the Vice-President Academic and Provost or a substitute
    • the Dean
    • the Chair of the Department/Program
    • the full-time professors
    • a representative sampling of part-time professors
    • a representative sampling of students
    • key members of the support staff
    • and, visit of the installations, ex: laboratories.
  16. Note: the Office of the Vice-President Academic and Provost sends the agenda and pertinent documents to the external evaluators.

  17. November to February -- Visit from external evaluators
    • Each evaluator submits his or her personal report to the Vice-President Academic and Provost
    • The reports are transmitted to the Chair of Department and Dean for comments.
  18. January to June -- Procedures for establishing recommendations
    • The Senate Committee on the Evaluation of Undergraduate Programs will consider the external reports and the comments received, and will prepare a summary report with its recommendations
    • The Vice-President Academic and Provost will inform the units of all recommendations retained by the Committee, and the steps to take from now until the next evaluation.
