Request a retroactive withdrawal of a course (with or without reimbursement)

Basic description

  • Withdrawing from a course can affect whether you meet all your program requirements, scholarships, loans, etc. Visit the web page Withdrawing from a course and consider the consequences carefully.
  • Visit the Graduate and Postdoctoral Studies Office of the Faculty of Medicine to consult an Intermediate Specialist, who can assist you in determining whether your situation merits an exception to the regulations. To book an appointment, please send an email request to [email protected].

Important dates

You must make your request for course withdrawal as soon as possible once you are aware of the circumstances causing you to make the request. 

How to submit a request

  • Prepare a letter that explains the reason for the retroactive withdrawal; Add all significant details to your request. 
  • When they are granted, retroactive withdrawals usually apply to all courses followed in a given term. If you are asking for a withdrawal from one or some courses only rather than all courses in the given term, you must provide a detailed explanation as to why some courses should be kept on your transcript and not others. The fact that you have been successful in some courses, but not in others, is not a valid justification. You must explain what constrained your success in some courses and what enabled you in other courses. 
  • At any point during this process, you may consult the Student Rights Centre for guidance, including a revision of your letter. 
  • Obtain the necessary documentation that supports the request; letters submitted without any supporting documents will not be considered. 
  • Submit your letter and all supporting documentation by email to [email protected]. All documents must be in PDF format.

Appeal a mandatory withdrawal from the program or Faculty

Basic description

How to make an appeal

  • To help you determine if you are eligible to appeal or benefit from an exception, please make an appointment with an Intermediate Specialist, at the Faculty of Medicine Graduate and Postdoctoral Studies Office by sending us an email request. Please note that the Academic Office staff will be able to explain the process and confirm whether you are eligible for an appeal, but their role is not to write or review your appeal request. 
  • Prepare a letter of request (PDF 234 KB) that explains the reason for the retroactive withdrawal; refer to the sample letter to ensure you include all relevant details. 
  • At any point during this process, you may consult the Student Rights Centre for guidance, including a revision of your letter.

Revision of grades and appealing a grade

Students have the right to see, on request after grading, all documents used to establish their grade. The University also recognizes the students’ right to ask for a grade review and to appeal grades, for both individual and group work. See Academic Regulation A-9 Revision of Grades and Appeal.

Important dates

  • When the grade in question is received on or before the last day of classes, students must submit their request within ten (10) working days of receiving the contested grade. For grades received after the last day of classes, the request must be submitted within ten (10) working days after the grade in question becomes official (see the University calendar for the exact date). 

How to make a request for a grade revision

  • Students who are not satisfied with their grade after discussing the matter with their professor can ask for a grade review. In all cases where the mandatory preliminary meeting with the professor could not be held or would prevent the student from respecting the prescribed deadlines, the student must provide written evidence that he or she attempted to reach the professor regarding the grade. 
  • Students submit their request by completing the Appeal Request form. and attaching all documents related to the request. 

Important: Comprehensive examinations, thesis evaluations and thesis defences, being conducted by a panel of examiners in accordance with established procedures, are not subject to the appeal provisions of this regulation. Their decisions may, however, be appealed to the Executive Committee of the Office of the Vice-Provost, Graduate and Postdoctoral Studies, which, depending on the nature of the complaint, will take appropriate action to ensure that it is clear that justice has been done. If the student is not satisfied with the outcome of such action, he may appeal to the Senate Appeals Committee on the grounds that appropriate procedures have not been followed.
