Workday is coming to uOttawa in 2023. But realistically, how will it improve productivity? How much simplification will it bring? To answer these questions, we decided to look at the administrative touchpoints of a professor. We needed to dive in deep and get specific about what the change will really mean.

Spoiler alert: Prepare to be amazed!

Would you believe, that for just this one workflow, that Workday will replace 9 systems? Professors and their delegates, managing the administrative tasks surrounding professorial tasks, currently use a variety of systems such as My HR Profile, Employee Directory, Concur, SciQuest, Fast MyResearch, UOHMS. If you consider there are over 4200 professors, that’s a lot of hours that will be saved through Workday’s nifty features such as time-saving dashboards, and an intuitive graphical interface.

“So much complexity and inefficiencies stem from the number of systems that the University community needs to deal with for their tasks. Workday will provide a single access point that is simple for users and will reduce the time spent on administrative requests so that they may focus on their mandate.” -- Mathieu Mainville, Program Director, Administrative Services Modernization Project

You must read the touchpoints for a professor pre and post Workday (PDF, 139.82KB) to fully grasp the enormity of the change. The transition to Workday will be sustained by a solid support plan and over 120 employees across campus with roles such as change agents and super users. These early adopters will start learning the Workday system by participating in testing the system beginning in May. So, professors will have someone in their faculty that has hands-on experience.

“The advanced security design of Workday will ensure the University aligns with the new guidelines set forth by Innovation, Science and Economic Development Canada to ensure researcher's grants and financial information are rigorously protected.” – Jean-Ray Arseneau, Senior Director, IT Infrastructure and Operations

Workday is being launched in May 2023. To prepare you for the new tool, a range of training options are planned in the fall: virtual instructor-led sessions; videos, memory aids, documentation for users of the system. It’s starting to gel and become real.

“Our faculty members will now work in the same way and streamline processes while still maintaining the freedom to operate autonomously. The result: greater visibility into their financial data, increased operating efficiency, and access to key information anywhere, anytime. Also, by eliminating paper-based processes and providing modern system capabilities, functional users like our faculty members now work more efficiently and spend more time on what matter to them.” – Annie Ménard, Financial Analyst, Faculty of Education.
