   Step 1

   Complete a request for documents form.

   Prepare records to be sent or accessed.

   Step 2

   Make a request by phoning extension 5750 ONLY in case of an emergency. You must be prepared to view your records on site at the Archives or pick up your records in person within the following 24 hours.

   Prepare records for pick up or onsite viewing and notify the requester when they are ready.

   Step 3

Return all records within one month, except for transferred records.

   Send a monthly reminder to return records on loan.

Disposal of records: final evaluation

   Step 1

  

   Make a list of records to be permanently preserved.

   Step 2

  

   Make a list of records to be destroyed according to Procedure 20-4.

   Step 3

  

   Send a letter to the dean or unit director requesting approval to dispose of the records specified in the list.

   Step 4

   Once approval for disposal has been received from the unit, shred the records.

   Step 5

  

   Send a revised list to the unit.
