The uOttawa employee card is an all-in-one card for on-campus access you can use for on-campus debit purchases, access to sports facilities or labs, or for a meal plan at the Dining Hall. Your card will be issued when you’re hired and renewed with each contract.

You must submit your photo and collect your card.

Remember not to discard your card at the end of a contract as you’ll need it for future contracts. A fee applies for issuing a replacement card.

Get your uOttawa employee card

Provide a photo for the employee card (initial card only)

Once you’ve accepted employment and started your first day, submit a photo so that your uOttawa employee card can be created. We require a photo only to initially issue your card. You’ll use the same card throughout your employment with the University. 

Receive an email when your card is ready to pick up

Once your card is created, you’ll receive an email in your uOttawa email account informing you that it’s ready for pickup in person at the Human Resources office in Tabaret Hall (TBT), Room 019, during working hours.
To receive your card, provide valid government-issued identification.

  • Certificate of Indian Status
  • Ontario health card
  • Canadian permanent resident card

Credit cards or other forms of ID are not accepted.

Online photo for uOttawa employee card

To submit the photo for your initial card online, you must meet these criteria:

  • Be a newly-hired uOttawa employee requesting your first uOttawa employee card. Employees who’ve previously had a card can’t submit their photo online.
  • Have a uOttawa employee number and uOttawa email address.
  • Have access to a digital camera to take a photo.

If you meet all the above criteria, submit your photo.

  1. Log in using the same username and password credentials as for the VirtuO/Workday portal (uoAccess ID and password).
  2. When logged in, agree to the Privacy Policy.
  3. You will be prompted, for verification purposes, to photograph and upload a copy of government-issued ID.
  4. Once your ID is submitted, select Add Photo to add the profile photo for your card.
  5. You’ll be prompted to take a picture or upload a clear photo (see requirements below).

In-person photo for your uOttawa employee card

If you can’t submit a photo online, submit a TOPdesk help request.
For in-person photos, don’t wear a hat or sunglasses. You can wear tinted prescription glasses so long as your eyes are clearly visible. Women who wear a veil that partially hides their face must submit a photograph without a veil. 

Replacing a lost, stolen or damaged employee card

If you don’t need to use a lost card immediately, wait a few days prior to submitting a replacement request, in case your card is found. You can deactivate a lost card to prevent any funds on it being used and, if found, you can reactivate it. If your card is used for access, immediately deactivate it online or have it replaced.

If your lost card is returned to the Human Resources team, you’ll be contacted via email. Contact uOttawa Protection Services to see if your card has been returned to the lost and found office and, if you suspect or know that your card has been stolen on campus, be sure to report the incident to Protection Services so that it can investigate.

Replace your uOttawa employee card at Human Resources in Tabaret Hall, Room 019. A $42 fee replacement applies. Your old card will be deactivated and you won’t be able to reactivate it. Please note: You can’t use the online photo submission system to replace a card.

If your card isn’t working, bring it to the uOttawa Card Service at 90 University, Room 145. If the card has been damaged, rendering the smart card defective, you must pay the non-refundable replacement fee of $42 and the uOttawa Card Service will retain the non-working card to make the replacement.

If you find a lost employee card, return it to Human Resources or Protection Services.
