Do you need a transcript, proof of studies, student card or copy of your diploma? Here's what you need to know.

  • Normally, only you, the student, can request copies of your official documents or come and pick them up at InfoService after ordering them online. However, you can authorize a third party to obtain copies of your documents by filling out the Third-Party Authorization Form to Release Student Information (PDF).
  • Official documents are only issued to students in good financial standing at the University of Ottawa.

Official transcript

An official transcript is printed on special paper, with the University of Ottawa seal and the registrar's signature. It contains the complete record of all courses in which you were registered and the results you obtained, as well as any degrees, diplomas or certificates you received.

The transcript includes your name, student number, basis of admission, advanced standing (without grades), program of study and faculty, number of credits per course, some scholarships, and special mentions.

Transcripts issued to students or to authorized third parties representing students are marked "Issued to the Student." You can request that your transcript be sent to a third party (for example, an employer) or to another university. Your transcript is then printed on security paper, sealed in a secure envelope and mailed directly to the third party.

Course titles appear in the language the course was given. The University does not translate transcripts.

When at least six students are registered for a course, the group average and the number of students registered appear on the transcript.

The University does not issue partial transcripts.

How to get it

Make an online request through Docu-Net (from uoZone, in InfoWeb, select Services and then click on Docu-Net) and choose your method of delivery. If you choose to pick up your documents in person, they will be ready at noon the next business day. Go straight to the InfoService reception desk. You don't need to get a ticket and wait.

Alternatively, complete the Request for documents form (PDF) and submit it to InfoService in person, by fax or by mail. However, please note that, as of September 1, 2015, this option is now more expensive than making your request through Docu-Net.

Processing time

  • Requests online through Docu-Net:  Processed the next business day
  • Requests by email, fax or regular mail: Processed in two to seven business days

Please allow time for the documents to be delivered to your address.

Statement of studies on a third party's form

Verification of academic credentials (AuraData)

Employers and academic institutions requiring verification of academic credentials by the University of Ottawa are asked to subscribe to AuraData, a repository run by a Canadian company specializing in secure online education verification. To subscribe or for more information, please contact AuraData.

Maintaining the confidentiality of documents is extremely important to the University of Ottawa. AuraData complies with federal and provincial privacy laws and requires signed authorization from you before releasing any information. The University of Ottawa only provides AuraData with a graduate's student number, full name, date of birth and graduation date as well as the name(s) and date(s) of degree(s) conferred.

I want a copy of my diploma

You can order one or more additional copies of your diploma, or a large format diploma (43.2 cm by 35.6 cm). You can only request a diploma once one has been conferred. Complete the Registration for Degree and Request for Diploma form (PDF).
