OGS Application Portal - Step by Step Instructions

OGS Online Scholarship Home Page

Register as a new user on the University of Ottawa OGS online scholarship home page. You will then receive a confirmation email. Click on the given link in your email to access portal to the registration website.

On the “Home” page
  • Click on “Start”
On the “Proposed Studies” page
  • Choose your University and Faculty
  • Click “Save and Submit”
  • You will be brought back to “Tasks”
  • Click “Jump to..”
  • On the red bar; top left of screen
  • Select “My Program Submissions”
  • This brings you to the “Home” page

On the “Home” page

  • Click “View Programs”
  • Choose the program to which you are asking OGS funding by clicking “Apply Now” (if you wish to apply to more than one Faculty please contact the FGPS at grad.awards@uottawa.ca)

Application stage

You must complete 8 tasks

Click “Start” under the “Actions” column
  • Fill out all required fields

Click “Save”

If you click “Yes”

  • Complete all fields

If you click “No”

  • Complete all fields (if you are not currently registered in a university, you must indicate the last university where you were registered)

Previous Studies

Complete the fields for your previous university studies.

  • You can complete up to 4 study periods.
  • If you have more than 4 study periods (i.e. one term on an exchange program, took one course at a university, more than 4 university degrees, etc.), you must submit all your university transcripts, even if the study period was not listed.

Click “Save and Submit”

You will be returned to “Application Stage”

Research/programs statement and contributions

Click “Start”

The first section is compulsory.

  • You will be limited to 700 words.
  • Applicants pursuing a research based program are required to provide an outline of their research proposal.
    • For example, how will you answer your research question(s) (your approach/methodology)? What are your guiding research questions? What are the objectives of your research project?  How will the literature help you answer your research question(s)?  What is your contribution to knowledge?  Contextualize your research to fit your program and/or your supervisor’s research.
  • Applicants pursuing a course based program or a non-research based program are required to identify the degree program which they will pursue including any relevant courses and provide an explanation of their choice and outline their special interests in the proposed area of studies.
  • Bibliographies and references (if any) must be included within the statement, additional space will not be provided.

The second section is optional.  However, if any research contributions exist, it is highly recommended to include them all, as it may have a major impact on the evaluation of your application.

  • Please list all research contributions.
  • Research contributions could be: books, monographs, book chapters, articles, conference proceedings, papers presented at scholarly meetings or conferences, articles in professional or trade journals, book reviews, published reviews of your work, research reports, policy papers, public lectures, patents, abstracts, posters, broadcast and text interviews, creative works, creative or artistic works (such as novels, videos, films, visual art works, sound recordings, exhibition catalogues), etc.
  • Group contributions by category, list most recent contributions first. Categories should be divided with refereed contributions, non-refereed contributions, forthcoming contributions, submitted contributions and literary and artistic works.  Please provide complete bibliographic details when applicable.
  • Do not cluster a poster, a conference presentation and a journal article all relating to the same topic.  List them separately.

Recommendation request (1)

Choose referees who are able to assess your skills in an academic setting.  Ideally, your supervisor should be one of your referees.

  • Ensure that your referees will give you an excellent recommendation.
    • Provide them with your CV, your research/program statement, your transcripts, a sample of your writing (i.e. a well-received essay), a list of your accomplishments worthy of mention in their letter, etc.

Click “Start”

  • Complete all fields – ensure you have correctly typed the email address; you may want to confirm receipt of your request with your referee

Click “Submit”

Click “Back to Submission”

You will be returned to “Application Stage”

Note: The Recommendation Request will remain « Pending » until your referee has submitted the report. It is your responsibility to ensure that your referees will submit their recommendation by the deadline.

Accomplishments and special consideration

These 2 sections are optional

  • You may complete one section or the other, or you may complete both sections or neither
  • You will be limited to 500 words for your list of significant academic accomplishments
  • Significant Accomplishments could include teaching/research assistantships and other evidence of scholarly activities, professional experience or internships relevant to your proposed research, involvement in the community or student organizations, volunteer work, etc.
  • You will be limited to 100 words to describe your special consideration
  • You may provide a short description of exceptional circumstances deemed to have had an effect on performance or productivity, including any delays in completing a degree, an absence from studies, etc.

Transcripts

Click “Start”

Click “Choose file” to upload your file with your transcripts

Up-to-date official and complete transcripts of all undergraduate and graduate studies must be included

  • ​Official transcripts are defined as transcripts issued by the Registrar's Office.
  • Complete transcripts are defined as transcripts dated or issued during the Fall term (session) of the year you are applying for the funding.
  • For University of Ottawa transcripts only, you may submit a PDF copy of your UO transcript available via uoZone.
  • If your transcript is in a language other than English or French, you must submit a certified translated version.
  • Scan and upload all your transcripts in one single document.  Preferred formats to use are:  .pdf, .doc, .ppt, .xls, .odt, .jpeg, .jpg, .gif, .png, .bmp, .txt
  • One copy of the legend (reverse of each transcript) must be included except for Canadian transcripts. 

You must include all undergraduate and graduate transcripts.

  • If there is only once course on the transcript, you must submit it even if you didn’t receive a mark for the course.
  • If you took a course or courses at a university and you did not receive a degree from that university, you must submit the transcript.
  • If you went on an exchange or took a course or courses that are part of your requirements for a degree in another university, you must submit those transcripts even if the marks appear on your home university.
  • If you are registered at the time you are submitting an application and it is your first term at that university, there will not be any marks on the transcript, however you must submit the transcript.  This means you must include your transcript for the Fall 2017.
  • When vetting your application, if evidence is found that there is a missing transcript, your application will be considered incomplete and will not be considered for an OGS.

Your document with your transcripts will open to view

You will be given 5 choices on the top right hand corner; “Back”, “Show Comments”, “Edit”, “Delete”, “Download”

  • View and validate every page of the document you uploaded.  You must ensure they are all complete and clear.
  • When you are satisfied with the display of the document, please continue to complete all other tasks in your application.

Click “Back”

You will be returned to “Application Stage”

Note:  If the documents are not properly scanned, your OGS application will be considered incomplete and will not be considered for an OGS.

  • Read carefully
  • If you agree select “I Agree”
  • Click “Save & Submit”
  • You will be returned to “Application Stage”

If you do not agree, you will not be able to submit your OGS application

Once you’ve completed all your tasks, you must submit your OGS application by clicking on “Submit OGS Application (uOttawa)” or “Submit OGS Application (Saint Paul University)”.

  • You will not be able to submit your OGS application if there is any pending task.
  • Remember, your referees recommendations are considered to be tasks.  Please follow up with your referees to ensure they submit their recommendation as early as possible.
  • Once all your referees will have submitted their recommendations, you must login the system again and perform yourself the final submission.
  • The deadline is firm, and all tasks must be completed before you are able to submit your OGS application.
